Privacy Notice

How your personal data is used when you practise and take interviews on KYNAA. Version v7-2026-09, last updated 15 September 2026.

1. About this notice

KYNAA AI is an interview practice and assessment platform operated by NamaSys Analytics (“we”, “us”) and provided to you through your college’s placement programme. Together with your college, we are responsible for your personal data under the Digital Personal Data Protection Act, 2023 (DPDP Act).

This notice explains what personal data we collect, why we process it, who can see it, how long we keep it, and the rights and choices you have. Please read it before giving your consent.

2. What we collect

  • Your profile: full name, email address, phone number (optional), college, course and year of study, major, roll number, target role and preferred language.
  • Your resume and job description: the resume you upload, the text we extract from it, and a structured summary of your skills, education, experience and projects; any resume you build on the platform; and any job description you upload or paste.
  • Interview recording and transcript: your webcam video, your shared screen and your microphone audio, recorded in your browser during the interview, along with a full written transcript of the conversation.
  • Versant Round answers: if you take the Versant Round, your microphone audio for each answer, recorded in your browser and stored as its own short clip. There is no camera video and no screen sharing in this round. The Versant Round is KYNAA’s own spoken English assessment: it is not Pearson’s Versant test and does not give a Pearson score.
  • Assessment results: question-by-question scores, competency scores, your interview report and your career readiness scores.
  • Fairness checks: during the interview, a webcam snapshot is taken roughly every 30 seconds and checked by AI for signs the assessment may not be fair, for example another person in frame, a phone, or notes. Only the findings are kept; the snapshot images themselves are not stored. We also record in-browser events such as tab switches, loss of window focus, the camera turning off, leaving fullscreen and screen sharing stopping.
  • Technical records: your IP address and browser details captured when you give consent, login times, an audit trail of key actions, and AI usage metrics for each interview.

3. Why we use your data

  • Run your interview: conduct the live voice interview and personalise the questions to your resume, target role and job description.
  • Score and report: transcribe your answers, score them against the assessment rubric, and generate your interview report, which we email to you.
  • Support your placement: make your recording, transcript, report and scores available to your college’s placement team.
  • Share you with approved corporates: if your college chooses to, show your name, college, course and year, your interview scores and score breakdown, your Career Readiness score and your resume to a corporate on the platform, so that it can consider you for a role.
  • Keep assessments fair: run the fairness checks described above.
  • Operate the service: secure the platform, investigate problems, keep audit records and measure usage, which is billed to your college, not to you.

We do not use your data for advertising, and we never sell it.

4. Who can see your data

  • You: your interview report is emailed to you, your results are visible in your account, and you can download a copy of your data at any time from Profile Settings.
  • Your college's placement team: can view your profile, interview recording, transcript, report and scores for placement purposes. No other college can ever see your data.
  • Corporates your college approves: your college can share its assessed students with a corporate on the platform. If it shares with one, that corporate can see your name, your college, your course and year; your best HR and Technical interview scores and how you scored on each area those interviews measured; your Versant Round band, where you have taken that round; how many interviews you have completed and their dates; your Career Readiness score and the resume score that feeds it; and your resume. Your resume is shown exactly as you wrote it, so it carries whatever contact details you put on it and a corporate may use those to approach you directly. It cannot see your interview recordings or transcripts, your Versant Round answer audio, your answers or any per-question detail, the written feedback and coaching in your report, or your account email. It may keep a private shortlist, which is shown neither to you nor to your college. Your college decides which corporates these are and can withdraw a corporate’s access at any time. If you withdraw your consent, you stop appearing to every corporate straight away.
  • KYNAA (NamaSys Analytics) staff: see the limited administrative and usage information needed to operate the service and provide support.

5. Services we rely on

We use a small number of service providers to run KYNAA. Your data is shared with them only to provide the service described in this notice:

  • OpenAI (United States): powers the live interview conversation, transcription, scoring, resume and job description reading, and the webcam fairness checks. Your interview audio, transcript, resume summary, profile details and webcam snapshots are processed by OpenAI, retained by them for up to 30 days for abuse monitoring and then deleted, and are not used to train their models. This means some processing happens outside India.
  • LiveKit (Singapore): carries the live audio and video between you and the AI interviewer, including background noise removal. Media passes through LiveKit and is not stored there.
  • Microsoft Azure (India): hosts our database and securely stores your recordings, transcripts, reports and resumes; also delivers our emails and reads uploaded PDF documents.

We use no third-party analytics or advertising trackers.

6. How long we keep your data

We keep your data for as long as your account is active and your college’s placement programme uses KYNAA. We do not delete data on a fixed schedule. Your data is removed when:

  • Your college asks us: to remove it as part of managing its placement programme.
  • You withdraw consent: we stop processing your data for interviews, stop showing you to any corporate, and delete your recordings, transcripts, resume files and reports.
  • You delete your account: we remove your personal details and files from your profile and delete the same materials as a consent withdrawal.

Versant Round answer audio is the one exception to the above: it is deleted automatically 30 days after the round, whether or not you withdraw consent. We keep it that long so a disputed result can be re-checked or appealed.

Assessment scores and fairness-check findings are kept as placement records for your college even after you withdraw consent. If you delete your account, they are kept only in anonymised form, no longer linked to your name or email.

7. Your rights and choices

  • Access your data: download a copy from Profile Settings, under “Download my data”.
  • Correct your data: update your details in Profile Settings, or ask your placement team to correct roster information.
  • Withdraw consent: at any time from Profile Settings, under “Withdraw consent”. Withdrawing is as easy as consenting was. You can give consent again before your next interview.
  • Delete your account: from Profile Settings. This cannot be undone.
  • Raise a concern: email us at kynaa@namasys.ai for any question, correction or complaint about your personal data. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

8. Consent and changes to this notice

Your consent is recorded with the notice version, the date and time, and the IP address and browser it was given from. If this notice materially changes, you will be asked to consent again before your next interview.
